Who we are
This notice covers the website hola-valeria.com, the reporting portal reportes.hola-valeria.com and the Valeria WhatsApp assistant service. The service is operated by Eric Vicente Zepeda Juarez, Mesa, Arizona ("Valeria", "we", "us").
When Valeria answers for a dental clinic
Valeria is an automated assistant that dental clinics and other appointment-based practices use on their own WhatsApp line. If you message a clinic that uses Valeria, that clinic decides how your information is used, and we process it on the clinic's behalf, only to run its schedule and patient messaging. For requests about that information, contact the clinic directly; you can also write to us and we will forward your request.
The assistant does not give diagnoses or clinical advice. You can ask to talk to a person at any time and your conversation will be handed to the clinic's staff.
Information we collect
- When you message a clinic that uses Valeria: your phone number, your name, your appointment details (service, date, time and provider), any notes you ask to add to your appointment, your place on the waitlist and, if you ask for a person, the reason.
- Messages: the messages you send and the assistant's replies are processed to help you and kept only for a limited time (see "How long we keep it"). They are not used for advertising.
- Health-related details: the service you request or your appointment notes may reveal something about your health. We use them only to manage your appointment, on the clinic's instructions. Please don't share medical details in the chat beyond what you need to book.
- Minors: information about children should be provided by a parent or guardian.
- When you message Valeria's own demo or contact number: your phone number, your name if you share it, and your messages.
- If your clinic is a Valeria customer: the clinic's name, staff contact names and phone numbers, email addresses authorized for the reporting portal, billing details and the calendars you share with us.
- The website hola-valeria.com has no forms and no tracking cookies. The reporting portal uses one strictly necessary sign-in cookie (Cloudflare Access) for users each clinic authorizes.
How we use it
- Scheduling: booking, confirming, reminding, rescheduling and canceling appointments.
- Offering open slots to patients on the waitlist.
- Answering questions about the clinic's services, prices, hours and location.
- Alerting clinic staff when you ask to talk to a person.
- Activity reports for the clinic (number of appointments, confirmations, cancellations), which show phone numbers masked.
- Answering questions about Valeria and supporting our clinic customers.
- Keeping the service secure, preventing abuse and improving its quality.
We do not sell your information, use it for third-party advertising or use it to train AI models.
Messages, consent and opting out
- Appointment reminders and other automated WhatsApp messages are sent only to patients who have an appointment with the clinic and have agreed to receive messages on WhatsApp.
- To stop automated messages, tell the clinic or write to us at [email protected] and we will remove your number. You can also ask to be removed from the waitlist.
- Write something like "I want to talk to someone" and the assistant will hand your conversation to the clinic's staff.
Who we share it with
We share information only with:
- The dental clinic you contact, which receives your appointment and conversation details.
- Meta Platforms (WhatsApp Business Platform; United States), the channel that delivers the messages.
- Cloud providers that run the service for us: Anthropic (United States; language processing to generate the assistant's replies, not used to train its models under its business terms), Google (Workspace: Calendar and Sheets; United States), Hetzner Online (Germany; servers, appointment log and short-term chat memory) and Cloudflare (United States, global network; website, portal and email protection).
These providers are bound by contract to protect the information and use it only to provide their service to us. We do not otherwise share your information unless required by law.
How long we keep it
- Conversation memory (so the chat can pick up where it left off): 24 hours after your last message.
- Technical logs (which include processed message content): 30 days, then deleted automatically.
- Appointment and activity log (phone, service, date, outcome): while the clinic uses Valeria and up to 24 months; names and free text are anonymized after 12 months.
- Backups: 30 days at most.
- Appointments and waitlist: kept in the clinic's own calendar and schedule, and the clinic decides how long. When a clinic stops using Valeria, we delete its data or return it, unless the law requires us to keep it.
Security
All communications are encrypted in transit, system access is restricted and authenticated, phone numbers are masked in reports, usage limits protect against abuse, and backups have restricted access. If a security incident significantly affects your information, we will notify the clinic and the people affected as required by law.
Your choices and contact
To ask what information we hold about you, correct it, delete it or stop its use, email [email protected] with your name, the phone number you messaged from and the clinic you contacted. If the clinic controls that information, we will forward your request and let you know.
Changes to this notice
We will post any changes on this page and update the date above.
